Watchdog Compliance respects your privacy and aims to handle personal information openly and responsibly. This policy explains our general practices when you use our website, contact us, enrol in training or engage our services.

Information we may collect

We may collect information you provide directly, information generated through your use of our services and limited technical information associated with website or platform use.

• Name, role, organisation and contact details
• Enquiry, engagement, training and account information
• Documents or facts you choose to provide for a matter
• Payment and transaction information handled through relevant providers
• Device, browser, security and usage information where enabled
• Campaign source, landing page and referral information attached to an enquiry

How we use information

We use personal information to respond to enquiries, provide and improve services, manage accounts and training, communicate relevant updates, maintain security, meet legal obligations and operate our business.

Disclosure and service providers

We may disclose information to personnel, professional advisers, technology and payment providers, learning platforms and other service providers where reasonably needed for the relevant purpose. We may also disclose information where required or authorised by law.

Some providers may store or process information outside your country. Relevant arrangements and protections depend on the provider and service used.

Illegal Logging Due Diligence System

A subscribing organisation receives a separately configured client workspace for its operational records and supporting evidence. Access is limited to its approved named users and authorised Watchdog personnel who need access to provide, secure or support the service. Watchdog does not use client due-diligence records for advertising.

The authentication service is configured in a Sydney region. The present application-hosting arrangement does not provide a contractual Australian-only data-residency commitment, so we cannot promise that all application data and backups remain only in Australia. Hosting and service providers may process information in locations in which they operate. We provide the available hosting, service-provider and security information during onboarding so the subscribing organisation can decide whether the arrangement meets its privacy and security requirements before live access is released.

Subscription payment details are collected and stored by Stripe, not in the due-diligence workspace. The workspace records only operational billing information needed to administer access, such as subscription status and the number of licensed named-user seats.

Do not send supplier evidence, assessment files or other confidential client records through a general website enquiry. Approved users should upload those records only after the separate client workspace has been released.

Security and retention

We use proportionate administrative, technical and physical measures to protect information. No system is completely secure, so please avoid sending unnecessary sensitive information through a general website enquiry.

We retain information for as long as reasonably needed for the purpose, legal and professional obligations, dispute management and legitimate business records, then delete or de-identify it where appropriate.

Access, correction and choices

You may contact us to request access to or correction of personal information we hold about you, subject to applicable exceptions. You can also ask about marketing preferences, a privacy concern or the handling of your information.
